QR code ordering for restaurants: a simple guide
What QR ordering is, how it differs from a QR menu, and how to start using it in your café or restaurant in India.
What is QR code ordering?
With QR code ordering, every table has a small QR code. A guest scans it with their phone camera, the café's menu opens in the browser, and they choose dishes and place the order themselves. The order reaches the counter instantly, with the table number, and the kitchen gets a token to cook from.
Nobody has to wait for a waiter to come, write the order down and walk it to the kitchen. Staff spend their time serving food instead.
QR menu vs QR ordering
Many cafés already have a "QR menu". It looks similar, but it does much less.
| QR menu | QR ordering | |
|---|---|---|
| What the guest sees | A PDF or photo of the menu | A live menu with prices, veg marks and an Add button |
| Who takes the order | A waiter, by hand | The guest, on their own phone |
| Reaches the kitchen | When the waiter walks it there | Instantly, as a printed token |
| Sold-out items | Still shown | Hidden with one tap |
| Bill | Written at the counter | Calculated automatically, GST included |
Why cafés switch to QR ordering
- No waiting to order. Guests order as soon as they sit down, and can add more anytime.
- Fewer mistakes. The guest types notes like "less spicy" themselves, so nothing is misheard.
- Less pressure on staff. Especially useful for small teams and busy evenings.
- Correct bills. Prices come from your menu, so totals are always right.
What to look for in a QR ordering system
- No app download. Most guests won't install an app just to order a coffee.
- No commission on orders. Some platforms take a cut of every sale. A flat monthly fee keeps the money with you.
- Payments to your own account. Cash, card or your own UPI QR, not a middleman.
- Table-specific QR codes. So every order shows the right table and nobody can order for another table.
- Kitchen printing. A token on an 80mm thermal printer is faster than reading a screen in a busy kitchen.
- GST-ready bills with your GSTIN and FSSAI number.
- Someone to call. Setup and support from a real person when something goes wrong during service.
How to set it up
- 1. Share your menu. A photo of your printed menu is enough.
- 2. Place the QR codes. One per table, on a stand or sticker.
- 3. Connect the counter. A phone, tablet or computer at the counter shows new orders, and the printer prints tokens and bills.
- 4. Try a few test orders with your staff before the first real guest.

FAQ
Questions about QR ordering
What is QR code ordering?
Guests scan a QR code on their table, see the menu on their phone and place the order themselves. The order goes straight to the counter and kitchen.
Is a QR menu the same as QR ordering?
No. A QR menu only shows a PDF or picture of the menu, and a waiter still takes the order. QR ordering lets the guest place the order from the phone.
Do guests need an app?
Not with a browser-based system like Cafe QR. The phone camera opens the menu as a web page.
What do I need to start?
Your menu, a phone or computer at the counter, and ideally an 80mm thermal printer for kitchen tokens and bills.
